Manual check-in
The receptionist copies the data by hand while the guest waits. Queues form, and the conversation shrinks to “May I have your ID?”.
Document reader for hotels
ROMAI MX1000
By reading the guest's identity document, ROMAI MX1000 fills in every field the check-in needs, in seconds. The process is quicker, queues disappear, and your front-desk team can focus on what actually matters: the guest.
Benefits
The data is read instantly, so each check-in takes much less time and the desk does not jam at peak hours.
Arrival weighs most in what a guest remembers. A quick, personal welcome turns into better reviews.
With no documents to copy, the receptionist looks at the guest instead of the screen: they recommend, answer questions and look after the details.
Nobody is left alone with a form. ROMAI does the heavy work and leaves people to do what they do best: look after the guest.
We take care of the data. You take care of your guests.
First impression
Check-in is a guest's first contact with your hotel, and the research shows it is the moment that counts most.
No. 1
The first impression has the greatest effect on satisfaction with the stay and on how staff are rated, ahead of the peak moment and the farewell.
+14.2%
higher chance that a traveller picks your hotel for every extra point of average review score.
+11.2%
higher rate a hotel can charge for one extra point of average score, at the same occupancy.
Why ROMAI
The receptionist copies the data by hand while the guest waits. Queues form, and the conversation shrinks to “May I have your ID?”.
The guest does it alone, on a phone or a kiosk. They get stuck, have a poor experience, and reach the desk with the problem still unsolved.
The receptionist places the document on the reader and the data appears on its own. A fast check-in, with no typing, and a person looking after the guest.
Software
Behind the MX1000 is latest-generation reading software, developed by ROMAI, combining optical character recognition (OCR) with deep-learning artificial intelligence. From any identity document or passport it extracts every field the check-in needs, with no exceptions. The result: 99.9% accuracy, better reads than competing readers, and a still wider gap on the least common documents.
Every version of the Spanish ID card, passports from any country, and identity documents, residence permits and driving licences from Europe, the Americas, Asia, Africa and Oceania.
Given name and surnames separately, document and support numbers, dates, nationality and a split address. It reads the MRZ with ROMAI's own algorithms and checks the control digits. Nothing left to finish by hand.
Old documents, unusual models or documents from distant countries: that is where the difference shows. Where other readers fail or make you finish the data by hand, the MX1000 reads them first time.
It is updated continuously with new document models, so years from now it still works as it did on day one.
99.9% accuracy over the last 1,000 real document reads. ROMAI internal data, October 2026.
Digital ID
With its front camera, the MX1000 reads the QR code in the MiDNI app. The guest only has to hold the phone up to the reader.
Since 2 April 2026, hotels and accommodation must accept the digital ID with the same validity as the physical card (Royal Decree 255/2025).
Security and compliance
We comply with the GDPR and the Spanish LOPDGDD and hold the privacy certifications used in the sector. Guest data is processed securely, on servers in the European Union, and only what is needed is collected.
No printing the document or photographing it in order to type the data later. The Spanish Data Protection Agency (AEPD) states that asking for a copy of an ID card or passport breaches the GDPR, and it has already fined hotels for doing so.
The data arrives exactly as it appears on the document, with no typing errors. A register with wrong or incomplete data is fined 100 to 600 € per offence.
Royal Decree 933/2021 and Organic Law 4/2015
Works with your PMS
The MX1000 works with most PMS on the market, so you do not have to change software or worry about the setup. We do the installation and leave it working, with no trouble, from day one.
How it works
Greet them, talk, and ask for their identity document.
Lay the document on the glass of the MX1000.
The guest's details fill in on their own. All that is left is to hand over the key.

Frequently asked questions
An identity-document reader for hotel front desks, designed and made in Spain by ROMAI. It reads the guest's document and fills in the check-in data in seconds, without typing.
Every version of the Spanish ID card (DNI), the digital DNI in the MiDNI app, passports from any country, and identity documents, residence permits (such as the TIE) and driving licences from Europe, the Americas, Asia, Africa and Oceania.
Everything the check-in and the guest register ask for: given name, middle name and both surnames separately; sex; date and place of birth; nationality; document type and number; the Spanish DNI and NIE support number; issuing country, authority and place; issue and expiry dates; a personal or tax number on documents that carry one; and the address split into street, number, postcode, city and province. It also reads the MRZ on the DNI, identity documents and passports with ROMAI's own algorithms and checks the control digits. If the document does not show the issue date, it calculates it from the expiry date and each country's validity rules.
